How to Run a Free RSVP Event with HighLevel

Not every event needs paid tickets.

Sometimes you simply need people to tell you they are coming.

Perhaps you are running a free workshop, guest speaker evening, networking meeting, open day or member event. You need to know who is attending, control the number of registrations, send reminders and ideally know who actually turns up on the day.

This is where HighLevel RSVP and the new HighLevel Events functionality become interesting.

HighLevel allows you to create a free RSVP event and manage the registrations from within the same platform you may already be using for your CRM, email, SMS, WhatsApp and marketing automation.

HighLevel Events is currently in beta, so I expect the functionality to continue evolving. However, I have already started using it for real-world events and have been impressed with what it can do.

In this article, I will look specifically at how HighLevel event registration can work for a free event, from collecting the initial RSVP through to reminders, QR code check-in and post-event follow-up.


What Is a Free RSVP Event in HighLevel?

A free RSVP event is exactly what it sounds like.

Rather than asking somebody to purchase a ticket, you ask them to register their intention to attend.

This could be useful for:

  • Networking meetings

  • Club and society meetings

  • Free workshops

  • Seminars

  • Business presentations

  • Open days

  • Community events

  • Customer events

  • Association meetings

  • Guest speaker evenings

  • Free training sessions

The important point is that there is no payment required.

Someone discovers your event, registers their details and reserves their place.

As an organiser, you then know who is planning to attend.


Why Use an RSVP System for a Free Event?

It can be tempting to think that because an event is free, you do not need a proper registration process.

You could simply publish the date and venue and tell people to turn up.

The problem is that you then have very little idea how many people to expect.

If you have a venue that comfortably accommodates 100 people, you need to know whether 25, 75 or 150 people are planning to attend.

There is also the communication aspect.

If somebody has registered, you have an opportunity to confirm their place, remind them about the event and send them important information before they arrive.

That is considerably better than simply hoping they remember seeing your original invitation.


Creating a Free Event in HighLevel

The process starts by creating the event within HighLevel.

You add the core information somebody needs before deciding whether to attend.

This could include:

  • Event name

  • Date

  • Start and finish time

  • Venue or location

  • Description

  • Schedule

  • Registration information

You can then configure the event so people can RSVP without having to make a payment.

The objective is to create one clear place where somebody can see what the event is about and register to attend.

For a paid event, you may want somebody to select a ticket, enter their details and make a payment.

For a free event, that additional payment process is unnecessary.

You simply need their RSVP.

This makes the registration process straightforward for the attendee.

This also means you can use HighLevel for a mixture of event types.

One event might be completely free and require an RSVP.

Another might require attendees to purchase tickets.

Collecting Event Registrations

From an organiser's perspective, one of the most important parts of free event registration software is knowing who has registered.

Imagine promoting an event on your website, social media and by email.

Without registration, you might see likes, comments, email clicks or people saying they are interested.

None of those necessarily tells you who is actually planning to attend.

An RSVP gives you something much more concrete.

If 80 people have registered, you have a far better idea of what to expect on the day.

It also means you have individual attendee information rather than simply expressions of interest on social media.


Setting a Capacity for Your Free Event

Free does not necessarily mean unlimited.

Your venue may have a maximum capacity.

That makes controlling registrations important even when nobody is paying for a ticket.

If there is only room for a certain number of attendees, you do not want significantly more people arriving than the venue can accommodate.

There can also be a useful marketing effect from limiting availability.

Compare:

"Come along. It's free."

with:

"Attendance is free, but registration is required, and places are limited."

The second gives people a reason to register rather than simply thinking they will decide on the day.

For events where capacity really is limited, that scarcity is genuine.


Your Event Registration Becomes Part of HighLevel

This is probably the biggest reason I am interested in HighLevel event registration.

HighLevel is not simply an event registration platform.

It is also a CRM and marketing automation system.

When somebody registers for your event, their registration can sit within the wider HighLevel ecosystem you use to manage your communications.

That creates opportunities which go well beyond collecting an RSVP.

For example, once somebody has registered, you might send them an immediate confirmation.

A week before the event, you could send a reminder.

The day before, you might send another message containing the venue address, parking information, start time or anything they need to bring.

On the morning of the event, you might send a short final reminder.

Rather than manually managing each stage, much of this communication can potentially be automated.


Reducing No-Shows at Free Events

No-shows are particularly important with free events.

When somebody has paid for a ticket, they have a financial incentive to attend.

When an event costs nothing, it is much easier to register with every intention of going and then forget about it or change your mind.

That means your reminder process can be almost as important as the initial registration.

A simple sequence could look like this:

Immediately after RSVP
Send confirmation and the main event details.

Seven days before
Remind them that the event is coming up.

One day before
Send a final practical reminder with the time and location.

On the day
Send a short message confirming the event is taking place and when it starts.

Because the registration is being managed through HighLevel, your communications do not necessarily have to be limited to email.

Depending on your setup and the appropriate permissions, SMS or WhatsApp could potentially become part of your event communication too.


Using QR Codes for a Free Event

One of the features I particularly like is QR code check-in.

Even though somebody has not paid for their place, their event registration can include a QR code that can be used when they arrive.

Instead of somebody standing at the entrance with a clipboard and printed spreadsheet, the attendee's QR code can be scanned.

That makes the arrival process more organised.

However, I think there is an even more important reason for using it.

You can distinguish between people who registered and people who actually attended.


Registration and Attendance Are Not the Same Thing

This is a small distinction that can make a big difference to your event data.

Imagine 100 people RSVP.

On the day, 82 actually attend.

If you only collect registrations, your records show 100 people.

If you use check-in as well, you potentially know:

82 people registered and attended.

18 people registered but did not attend.

Those are two different groups.

And they should not necessarily receive the same follow-up communication.

Someone who attended could receive a message thanking them for coming and asking for feedback.

Someone who registered but did not attend could receive a different message acknowledging that they missed the event and perhaps inviting them to a future one.

That is a much more intelligent way to communicate.


Following Up After Your Free Event

The event does not have to finish when everybody goes home.

Because your registration and attendance information is within HighLevel, the event can become part of your ongoing communication.

For example, you could:

  • Thank attendees for coming

  • Ask for feedback

  • Send a survey

  • Share useful information from the event

  • Promote your next event

  • Invite attendees to take another relevant action

  • Follow up separately with people who registered but did not attend

This is where I think HighLevel becomes considerably more interesting than using a basic online RSVP form.

The objective is not simply to capture a name and email address.

It is to manage the relationship before, during and after the event.

You could create a free event registration form using any number of form-building tools.

For a very simple event, that might be perfectly adequate.

Someone completes the form and you receive their details.

The questions start when you think about what happens afterwards.

How do you send confirmations?

How do you send reminders?

Where are your registrations stored?

Do you need to export them into another system?

How do you record who actually attends?

How do you follow up afterwards?

If you are already using HighLevel, having your HighLevel RSVP connected to the rest of your CRM can remove some of these disconnected steps.

Your event does not have to exist in isolation from your wider marketing and communications.


Is HighLevel Free Event Registration Software?

There is an important distinction here.

HighLevel itself is not free software.

However, HighLevel Events can be used to run events where registration is free for the attendee.

So if you are searching for free event registration software, HighLevel could make sense if it is already part of your organisation's technology stack.

Instead of adding another standalone event system, you may be able to manage your free event registration through the platform you are already using.

I would not suggest subscribing to HighLevel purely because you need a simple RSVP form for one small event.

The attraction becomes much greater if you are already using HighLevel for CRM, marketing and communications, or if events form part of a wider marketing strategy.

Can I Limit Registrations for a Free HighLevel Event?

If your event has limited capacity, managing the number of available places can help prevent more people registering than your venue can accommodate.

It can also create genuine urgency where places really are limited.

This is one of the main advantages of having your event registration connected to HighLevel.

Yes. This is one of the reasons I think the Events module could become particularly useful.

You might run some events where people simply need to RSVP and others where attendees need to purchase a ticket.

If you already use HighLevel, I think it is certainly worth considering before adding another event registration platform.

The attraction is not simply that somebody can RSVP.

It is everything you can potentially do around that registration.

An attendee can move through a journey such as:

Event promotion → RSVP → Confirmation → Reminder → QR check-in → Follow-up → Next event

with the information remaining connected to your wider CRM.

For me, that is the real opportunity with HighLevel Events.

It is not simply another event registration tool.

It makes events another part of your sales, marketing and communication system.
