Step 1: Collect Feedback

First, trigger the workflow. You could do this in several ways:

  • After a service is completed (tag applied)

  • After a support ticket is closed

  • Using a “How did we do?” form or survey

If you’re using a form, add fields like:

  • Rating (1–5 stars)

  • A short comment

  • First name

This info becomes the foundation for the ChatGPT prompt.


Step 2: Use ChatGPT to Generate the Draft Review

Inside your HighLevel workflow, use the AI Action step (ChatGPT integration) to generate a review draft.

Here’s an example prompt:

"Write a friendly 5-star Google review for a local carpet cleaning company. The customer’s name is {{contact.first_name}}, and they said: '{{form.feedback}}'"

Make sure the output is stored in a Custom Value like {{custom_values.draft_google_review}}.


Step 3: Store the Draft Review Using Custom Values

You’ll need a custom field (or custom value, depending on setup) to store the generated review text. This ensures you can reference it later in the email or SMS you send.

In the AI Action step:

  • Set the output to populate your custom field, e.g. draft_review_text

This keeps it dynamic and personal — without you lifting a finger.


Step 4: Send the Draft Review with a Link

Now add a message step (Email or SMS) that says something like:


Subject: Quick favour?

Body:
Hi {{contact.first_name}},
Thanks again for using our service – really appreciate your support.

Here’s a quick draft of what you might write as a Google review (just to make it easier!):

"{{custom_values.draft_google_review}}"

If you’d be happy to share this (or your own version), you can post it here:
👉 [Insert your Google review link]

Thanks again – it means a lot!
